Instructions for Speakers:

Slides:

  • Use dark backgrounds that are simple and do not contain designs of any kinds are the best for video presentations
  • Wording on slides should be concise and avoid long sentences as it can clutter the small screen
  • Large Font
  • Simple graphics in JPEG format only (i.e. no TIFFs or GIFs)
  • NO animations/transitions.  Keep it simple.

Scheduling Taping of Session:

Please contact Jennifer L. Cironi, A.P.R.N. or Susan Marino to coordinate taping of the session.  Taping MUST take place THREE WEEKS prior to the scheduled video grand rounds to ensure technical success of the project.

Taping the Session:

  • Speak Clearly
  • The audience is the camera.  Focus eye contact on the camera
  • PRACTICE the presentation prior to taping.  Once the presentation is taped it cannot be changed. Starting over during the taping is strongly discouraged.

Telconference Calling Instructions

  1. Call 1-800-313-YALE (9253)
  2. You will hear a long beep
  3. During the beep enter the code provided on the rounds page
  4. You will hear:
     
    "Thank you for calling the Yale Conference Line. If you are in a Conference A, please press 1; if you are in Conference B..."
  5. Choose Conference D by pressing 4 on your touchtone phone
  6. You will be prompted to say your name
  7. You will then be connected to the Region I Video Grand Rounds Discussion

While connected to the teleconference please MUTE your phone when you are not speaking.  This will help to avoid any unnecessary background noise.

Instructions for Accessing the Web Cast

  1. Gather around a computer that HAS BEEN PREVIOUSLY TESTED to run the RealOne Player.
    • Testing your computer a few days prior to the conference is a MUST to allow us time to troubleshoot. This will ensure that problems are solved well before the daty of the conference.
  2. Go to http://hemophilia.med.yale.edu/videorounds and click on "Enter Video Grand Rounds".
  3. When prompted, enter your username and password (both are case sensitive).
  4. Click on the presentation at 8:00am
    • The region is scheduled to watch the presentation from 8:00am to 8:30am on line and then have a conference call from 8:30am to 9:00am.  However, the presentation can be viewed at anytime.
  5. The RealOne player will load and the webcast will start automatically
    • If all is working with the computer you will see and hear a presenter speaking with the slides just as if at a live conference
    • Sounds can be adjusted on the screen or on your computer (usually via the speakers)
    • The presentation can be viewed from any computer that has the Real Player
    • It is essential that you test to see if your computer will run the video PRIOR to the day of the conference
  6. Designate one person from your center to call the teleconference ahead at 8:15am so that the discussion period can begin promptly at 8:30am.
    • This will allow time to troubleshoot if needed
  7. After all is finished, complete the evaluation form as directed on the website
